New online entry form replaces paper registration

Published 2026-06-02

Starting this month, tournament entries are submitted through the online entry form instead of the paper forms clubs used to collect. The change follows a two-season pilot at eight member clubs, where the digital process cut average entry-processing time from eleven days down to under one, and it now applies federation-wide as of June 2, 2026.

Why the switch

For years, clubs collected paper entry forms at the front desk, boxed them up, and mailed them to the regional office ahead of each tournament's closing date. It worked, but barely — forms got lost in transit, handwriting was occasionally impossible to decipher, and club administrators spent hours re-typing entries into the ranking system by hand. The new online form removes almost all of that manual re-entry, and gives players a confirmation the moment their entry lands.

How the new form works

The entry form lives under My Tournaments in the Player Portal. Submitting an entry now takes just a few steps:

  1. Open the tournament listing and select Enter Tournament.
  2. Confirm the pre-filled details (see below) and choose your event category.
  3. Pick your preferred draw, such as Men's Singles, Women's Doubles, or Mixed Doubles.
  4. Review the entry fee and confirm payment through the club's existing billing arrangement.
  5. Submit — a confirmation email arrives within minutes.

Most entries take under two minutes end to end, compared to the old paper workflow which often meant a follow-up phone call to check whether the form had even arrived.

What's pre-filled for you

To save time, the form pulls information straight from your player profile:

  • Your current ranking category, so you're only shown draws you're eligible for.
  • Your home club, auto-selected but editable if you're entering as a guest player.
  • Your contact email and phone number, used for match-day notifications.
  • Any medical or dietary notes you've previously added to your profile, shared with tournament organizers automatically.

Double-check these fields before submitting, especially if you've recently switched clubs or moved up a ranking category — the Update Profile link on the entry page makes corrections quick.

The paper fallback

We know not every player is comfortable online, or has reliable internet access, so paper entry has not been discontinued. Clubs will continue to accept paper forms at the front desk and submit them on the player's behalf through a staff account. The only change here is behind the scenes: club administrators now key paper entries into the same online form, rather than mailing the physical copy, which keeps processing times consistent regardless of how an entry arrives.

If your club has a printed form on file, it remains valid through the end of the 2026 season, after which a refreshed version will be issued.

Entry deadlines stay the same

One thing that has not changed is the closing date policy: entries, online or paper, must still be received by 17:00 on the Wednesday before a tournament's first round. Late entries are only accepted onto a waiting list, at the tournament committee's discretion.

Getting help

A short walkthrough video is available from the Help Centre, and club administrators have received an updated reference sheet covering the staff-entry workflow. If you run into any issues submitting an entry — a field that won't accept your ranking category, or a payment step that stalls — contact support from the Help Centre and include your player ID so we can look into it quickly.

We'll keep listening for feedback as more clubs move fully onto the new process over the coming months.
